Nine modules, one set of records

Repairs, counter sales, stock, purchasing, invoices and money are kept in one workspace. A sale takes stock off the shelf, a repair uses parts, a payment lands on a till, and the reports read all of it.

One record

One record travels through the business

Follow a single repair, SRV-0409, from the counter to the reports. Each step adds to the same record; nobody retypes anything.

  1. 01

    Intake

The counter shows a QR code. The customer scans it and enters their own details and device on their phone, through a link that stays valid for 20 minutes and shows your consent text. Staff add the fault, condition photos and the deposit.

  2. 02

    Diagnose and repair

The job goes to a technician. They work it from a table or drag it across the Kanban board as it moves from Received to In progress, or to Waiting for part while a part is on order.

  3. 03

    Parts from the shelf

Parts added to the record come out of stock at the warehouse shelf they were taken from, and the movement is logged. A part that is not used goes back to stock.

  4. 04

    Sale and invoice

The finished record becomes a service invoice. A case or charger the customer buys at the same time is scanned at the point of sale with a barcode.

  5. 05

    Payment

The customer pays part in cash and part by card. Each part is recorded as a financial movement in the till or the bank account linked to that payment method, and the deposit taken at intake is settled against the balance.

  6. 06

    Reports

The repair, the sale and the payment show up in the dashboard and reports: eleven report areas with filters, drill-down and CSV or XLSX export.

02Data flow

What happens when one module records something

Nobody retypes a sale into stock or a payment into the books. Each record moves on to the modules that need it.

  1. A sale takes stock off the shelf

Each sold line reduces stock at the storage location picked on the sale. Stock cannot go below zero.

  2. A repair uses parts from stock

Parts added to a service record come out of stock where they were stored. Parts that come back are returned.

  3. Posting a purchase updates stock and cost

A posted receipt adds the stock and updates the weighted average cost, then becomes a purchase invoice.

  4. A finished repair becomes an invoice

The service record turns into a service invoice with its parts and labour, printed on your own layout.

  5. Payments become financial movements

Each payment, split or not, is recorded on the till or bank account linked to its payment method.

  6. Reports read all of it

The dashboard and eleven report areas are built from these records, with drill-down to each one.
