Purchasing & document import

From supplier paperwork to stock, without retyping

Order, receive and post at weighted average cost. When the supplier sends an invoice, upload it: the lines are extracted for you, and your staff check and match them before anything reaches stock.

01What it handles

Buying, receiving and paperwork

Everything between deciding to order and having the parts on the shelf.

  • 01

    Suppliers and contacts

Keep each supplier with its contact people, so orders and questions go to the right person.

  • 02

    Purchase orders

Draft an order, submit it, then receive against it.

  • 03

    Resumable receiving

Start receiving a delivery, stop, and continue later. On the mobile app, receive by scanning barcodes.

  • 04

    Average cost on posting

Posting a receipt adds the stock and updates the product's weighted average cost. A purchase invoice follows from the receipt.

  • 05

    Supplier invoice import

Upload a PDF, image or Excel file. The text is read by PDF parsing or OCR and an AI model extracts the invoice lines.

  • 06

    Posting preview and reversal

See the effect on stock and cost before posting, and reverse a posted import if it was wrong.

Purchasing

Supplier invoices in, without retyping them

Upload the supplier's invoice and the lines are read for you. A person reviews every line before anything is posted.

  1. 01

    Upload the document

A PDF, a photo or scan, or an Excel file from the supplier.

  2. 02

    Data is extracted

The text is read by PDF parsing or OCR, and an AI model extracts the supplier, dates, lines, quantities and prices.

  3. 03

    Staff review and match lines

Your staff check each line and match it to a product, create a new product or ignore it. SKU mappings you saved last time are suggested again.

  4. 04

    Post, or reverse

A preview shows what will change. Posting updates stock and the weighted average cost; a posted import can be reversed.

02How the work flows

An imported invoice, step by step

The model does the reading. Your staff make the decisions.

  1. 01

    Upload the document

Drop in the supplier's PDF, a photo or scan of it, or their Excel file.

  2. 02

    Lines are extracted

PDF parsing or OCR reads the document, and an AI model pulls out the invoice lines.

  3. 03

    Staff review and match

Match each line to a product, create a new product, or ignore it. Lines already covered by a saved SKU mapping can be confirmed in bulk.

  4. 04

    Preview and post

Check the posting preview, then post. Stock and costs update, and the import can be reversed later.

03Closer look

Extracted by a model, checked by your team

Each extracted line shows its match state, and nothing is posted until a person confirms it.

2

Templates and non-stock lines

Save templates per supplier, and patterns for lines such as shipping that should not become stock.
3

Three choices per line

Match to an existing product, create a new one from the line, or ignore it.
