Laptop diagnosis, ordered parts and the invoice on one record
Computer repairs take days and pass through several hands. Keep the serial number, the diagnosis, the parts on order and the labour together, then invoice the customer, whether it's a student or a company with an account.
01A working day
A day in a computer workshop
From the diagnosis to the part on order to the invoice.
- 01
Record the machine
Add the laptop or desktop under the customer with its brand, model and serial number, the reported fault and condition photos. Past repairs on the same device are on the customer's record.
- 02
Diagnose and quote
Write the findings on the device, add labour from your own price list and move it through the statuses as the work goes on.
- 03
Wait for the part
Raise a purchase order with the supplier and set the device to Waiting for part. The customer sees the status on their tracking page.
- 04
Receive the part
Upload the supplier's invoice as a PDF, image or Excel file. An AI model extracts the lines; your staff review and match them to products before anything is posted to stock.
- 05
Invoice and get paid
Fit the part, mark the device Completed and turn the record into a service invoice. Take payment across several methods, or leave it open as a receivable on the customer's current account.

03What matters
What a computer workshop needs to get right
Longer jobs, more parts, more paperwork.
- Devices
- The laptop device type, with brand, series and model from an editable catalogue. Desktops and other hardware can be recorded under Other. Serial numbers are stored per device.
- Diagnosis
- Findings, photos and status changes are kept on each device, so the next technician picks up where the last one stopped.
- Parts on order
- Purchase orders go from draft to submitted to received. Receiving can be paused and resumed, and posting updates stock at weighted average cost.
- Business customers
- Current-account statements, receivables with ageing and payments allocated across open invoices.
- Currency and VAT
- Invoices in other currencies with the rate stored on the document. Standard, margin and reverse-charge VAT, with the legal note printed.
04Questions
Questions shops like yours ask
01Which supplier documents can be imported?
PDF, image and Excel files. An AI model extracts the data, then your staff review each line, match it to a product, create a new one or ignore it, and see a preview before posting. Saved SKU mappings make the next invoice from the same supplier quicker to review.
02Can I see a machine's earlier repairs?
Yes. Devices are saved on the customer, so every past service record for that device, with its diagnosis and status history, is one click away.
