Service & repair
Every device, from check-in to handover, on one record
A service record holds the customer, one or more devices, the fault, photos, the deposit, the parts and labour used and every status change. Your counter, your technicians and your customer see the same facts.
01What it handles
The whole repair, not just the ticket
What a service record keeps track of, from the first conversation at the counter to the invoice.
- 01
Several devices per record
One customer, one record, any number of devices. Each device has its own fault, diagnosis, photos, status and estimated delivery.
- 02
QR self check-in
The counter shows a QR code; the customer fills in their own details on their phone through a link that stays valid for 20 minutes and shows your consent text.
- 03
Device catalogue built in
Pick brand, series and model from 2,111 models across 29 brands, or add your own. IMEI and serial numbers are stored with the device.
- 04
Statuses you control
Received, In progress, Waiting for part, Completed, Delivered and Cancelled, with the transitions between them that you allow. Every change is logged.
- 05
Parts and labour on the record
Add parts straight from stock and labour from your own price list. Parts that come back are returned to stock.
- 06
Unlock codes kept safe
PINs and patterns are stored encrypted, shown only to staff with permission, and expire 30 days after they were saved.
Status lifecycle
Every status change leaves its mark
A repair moves through the same statuses in every shop: Received, In progress, Waiting for part, Completed and Delivered. Each change is recorded with the time and the person who made it.
- 01
Received
The record is opened and a service label prints for the device, with its number and a QR code.
- 02
In progress
A technician starts work. The status changes and the change is added to the record's history.
- 03
Waiting for part
Work pauses while a part is on order, and anyone at the counter can see why.
- 04
Completed
The repair is done and the device is ready to collect.
- 05
Delivered
The customer collects the device. The record keeps every status, when it changed and who changed it.
- 06
Service invoice
The finished record becomes a service invoice, printed as a receipt or as an A4 invoice.
02How the work flows
From the counter to the bench and back
The same record moves through the shop. Nobody retypes anything.
- 01
Check the device in
At the counter or by the customer's own phone. Record the fault, condition photos and the deposit, and print a receipt and a QR label.
- 02
Assign and diagnose
Give the job to a technician. Work it in a table or drag it across the Kanban board as the status changes.
- 03
Use parts from stock
Add the parts you fit. Stock goes down at the storage location they came from.
- 04
Keep the customer informed
Status changes can send an email or SMS from your templates, with a secure tracking link.
- 05
Invoice and hand over
Turn the record into a service invoice, settle the remaining balance and mark the device as delivered.
03Closer look
A tracking page instead of phone calls
Customers follow their repair on a secure page without an account.
