Finance
The money side of the shop, kept next to the work that earned it
Every payment taken at the counter or paid to a supplier is recorded as a financial movement on a till or a bank account. Current accounts, receivables, payables and expenses build from the same records.
01What it handles
Tills, banks and who owes what
What the finance module keeps track of between opening the shop and closing the month.
- 01
Cash registers and till sessions
Open a session with a float, record cash in and cash out, and close it with a count. The gap between expected and counted cash is kept as the variance.
- 02
Bank accounts
Keep each account with its IBAN and currency, transfer between accounts and tills, match movements against the bank and mark them reconciled.
- 03
Current accounts
Every customer and supplier has a current account with a running balance and a statement you can print.
- 04
Receivables and payables
Allocate payments to open invoices and see balances by age, so overdue amounts stand out.
- 05
Expenses
Record rent, utilities, consumables and other costs under your own categories, paid from a till or a bank account.
- 06
Exchange rates and period lock
Enter rates by hand or sync them when you ask. Lock a closed period so its movements can no longer change.
Payments
Every payment lands where it belongs
Take one sale across card and cash. Each part is recorded as a financial movement in the account its payment method is linked to, and the till balances at closing.
- 01
One sale
A repair and an accessory on one receipt.
- 02
Paid two ways
The customer pays part by card and part in cash. One sale can be split across cash, card and bank transfer.
- 03
Each part lands in its account
Every payment method is linked to a till or a bank account, so the card part is recorded in the bank account and the cash part in the till.
- 04
The till balances
When the till session closes, the expected cash is compared with what was counted and any difference is shown.
02How the work flows
From the morning float to a locked month
Money is recorded where it changes hands, so the evening count and the month-end review start from the same movements.
- 01
Open the till
Start the session with the float that is in the drawer.
- 02
Take payments
A sale or a repair can be paid in parts, by cash, card or transfer. Each payment method posts to the cash register or bank account it is linked to.
- 03
Pay suppliers and expenses
Outgoing payments are allocated to purchase invoices or recorded as expenses.
- 04
Close and count
Count the drawer at the end of the session. SmartService shows the expected amount and records any variance.
- 05
Reconcile and lock
Match bank movements, review the finance reports and lock the period once it is done.
03Closer look
One payment, split three ways
How a split payment at the counter becomes movements on the right accounts.
Split across methods
Every method has an account
Seven finance reports
