Repairs, sales, stock and money in one system

For shops that repair, sell and stock: phone and computer repair shops, service centres and parts and accessory retailers. Service records, the counter, the warehouse, purchasing, invoices and the till all work from the same data.

One record follows every repair, every part and every payment.

01One record

One record travels through the business

Follow a single repair, SRV-0409, from the counter to the reports. Each step adds to the same record; nobody retypes anything.

  1. 01

    Intake

The counter shows a QR code. The customer scans it and enters their own details and device on their phone, through a link that stays valid for 20 minutes and shows your consent text. Staff add the fault, condition photos and the deposit.

  2. 02

    Diagnose and repair

The job goes to a technician. They work it from a table or drag it across the Kanban board as it moves from Received to In progress, or to Waiting for part while a part is on order.

  3. 03

    Parts from the shelf

Parts added to the record come out of stock at the warehouse shelf they were taken from, and the movement is logged. A part that is not used goes back to stock.

  4. 04

    Sale and invoice

The finished record becomes a service invoice. A case or charger the customer buys at the same time is scanned at the point of sale with a barcode.

  5. 05

    Payment

The customer pays part in cash and part by card. Each part is recorded as a financial movement in the till or the bank account linked to that payment method, and the deposit taken at intake is settled against the balance.

  6. 06

    Reports

The repair, the sale and the payment show up in the dashboard and reports: eleven report areas with filters, drill-down and CSV or XLSX export.

Parts stock

Every part is a stock item

Take a phone apart and every layer is something you buy, store and sell. Each one sits on a shelf with a barcode, a count and the device models it fits.

  1. 01

    One device on the bench

A repair starts with the whole device, and with the parts you will need to fix it.

  2. 02

    Every layer is a product

Screens, batteries, boards and glass are products in your catalogue, with variants, brands and the device models each one fits.

  3. 03

    Each one has a shelf

Stock is kept per warehouse, shelf and storage location. Several barcodes per product mean the supplier's label and your own both scan.

  4. 04

Used on a repair, counted at once

Add a part to the repair record and it comes out of stock at the shelf it was taken from. The movement is logged, and a part that is not used goes back.

02Retail and stock

Not only repairs

Plenty of shops sell more than they repair. The counter and the stockroom are full modules, not add-ons to a repair ticket.

Retail counter

Barcode checkout
Scan with a USB barcode scanner; set price, discount and VAT per line, and choose the stock location.
Split payments
Take one sale across cash, card and bank transfer. Each payment method is linked to a till or bank account.
Multiple currencies
Sell in another currency; the exchange rate used is stored with the sale.
Hold and resume
Park a basket while you serve the next customer, then pick it up again.
Returns and credit notes
Take goods back into stock and issue a credit note against the original sale.

Parts stock

Variants
Colours, capacities and other attributes as variants of one product, under brands, categories and tags.
Multiple barcodes
Several barcodes and aliases per product, so a supplier's code and your own both scan.
Compatible device models
Link a part to the device models it fits, so the counter knows which case or screen goes with which phone.
Warehouses and shelves
Stock per warehouse, shelf and storage location, with transfers, adjustments and a movement history that is never rewritten.
Stock requests
Ask another warehouse for stock and fulfil the request in full or in part.

Stock comes in, sales go out, and the money is accounted for.

03Purchasing

Supplier invoices in, without retyping them

Upload the supplier's invoice and the lines are read for you. A person reviews every line before anything is posted.

  1. 01

    Upload the document

A PDF, a photo or scan, or an Excel file from the supplier.

  2. 02

    Data is extracted

The text is read by PDF parsing or OCR, and an AI model extracts the supplier, dates, lines, quantities and prices.

  3. 03

    Staff review and match lines

Your staff check each line and match it to a product, create a new product or ignore it. SKU mappings you saved last time are suggested again.

  4. 04

    Post, or reverse

A preview shows what will change. Posting updates stock and the weighted average cost; a posted import can be reversed.

Payments

Every payment lands where it belongs

Take one sale across card and cash. Each part is recorded as a financial movement in the account its payment method is linked to, and the till balances at closing.

  1. 01

    One sale

A repair and an accessory on one receipt.

  2. 02

    Paid two ways

The customer pays part by card and part in cash. One sale can be split across cash, card and bank transfer.

  3. 03

Each part lands in its account

Every payment method is linked to a till or a bank account, so the card part is recorded in the bank account and the cash part in the till.

  4. 04

    The till balances

When the till session closes, the expected cash is compared with what was counted and any difference is shown.

04Print design

A drag-and-drop designer for every document the shop prints. Place text, data fields, barcodes, QR codes, your logo, lines and boxes with millimetre precision.

  1. 01

    A blank label

Invoices, receipts, service and product labels and statements each start as a layout you control.

  2. 02

    Drop in what it needs

Place text, data fields, barcodes, QR codes, your logo, lines and boxes, positioned to the millimetre.

  3. 03

    Print where you are

Print from the browser or to a DYMO label printer, with printers set per workstation.

  4. 04

    On the device bag

The label carries the service number, the device and the customer, so bags never get mixed up.

  • Photos at intake

Take condition photos with the phone camera while checking a device in.

  • Receive by scanning

Receive a purchase order by scanning the goods as they are unpacked.

06Team

Built for teams

From a single counter to several technicians and warehouses, everyone sees what their role allows.

Roles and permissions
Define roles and decide, module by module, who can view and who can manage. Invite staff to the workspace.
Activity log
Who did what and when, with the IP address it came from.
Master-data import
Bring your existing master data across in three steps: analyse, validate, then import. Running it again does not create duplicates.
Interface languages
The interface is available in Turkish, English and German.

08Questions

Frequently asked questions

Straight answers to what shops ask before they start.

01Who is SmartService for?

Shops that repair, sell and stock: phone and tablet repair, computer and IT service, service centres, parts and accessory retailers, electronics shops, and watch and console repair.

02Do I need to do repairs to use it?

No. The point of sale, inventory, purchasing, invoicing and finance modules work on their own, so a retail shop can use SmartService without taking in a single repair.

03Can customers follow their repair?

Yes. Each service record can have a secure tracking link. The customer sees the status, the estimated delivery, the deposit and the remaining balance without creating an account.

04Does the AI post supplier invoices on its own?

No. An AI model extracts the data from the uploaded PDF, image or Excel file. Your staff review and match every line before posting, and a posted import can be reversed.

05How do I get access, and what does it cost?

Request a demo and we will set up a workspace with you. Pricing is quote-based: tell us about your shop and how you work, and we will send you a quote.
